Communication is a skill we use daily but most of us don’t actually master, but there are simple steps to help take you from amateur to master
1 – Plan your Intent and Audience – The best way to know if you should be communicating at all is by asking why. What are you communicating and what is your intent. If it is anything other than to help the person or the business check in to see if you should be communicating at all.
Once you know your why look at the audience there is no point talking technical terms to a group of 6 year olds so look at who you are talking to and adjust your message to make sure it hits the mark.
2 – Be Clear and Consise – The worst thing you can do when delivering some feedback to your team is beating around the bush so plan how you can be clear and consise without being cold. The biggest reason for miscommunication is the message was not clear. This is also true for praise make sure it is clear that they did well and how, be specific.
3 – Be Quiet and Listen – Once you have delivered your message it is time to see how well you did. This is the time to check in and seek understanding. One of the key things to do at this point is not interrupt and just listen. Remember any communication is two way so give them time and be okay for a little silence along the way, that means they are thinking.
4 – Don’t forget to be human – This may sound strange but when a message is not fully understood or received, sometimes we forget that all humans understand things differently. So don’t forget you are human and could have made an error and also the person receiving your message is human too. This helps us be less frustrated if we have to go back to step 2 and be a bit clearer.
Also be aware of what emotions the message may bring up not just for you but the person receiving this. Be human even in business.
